Terms of Service
01 About Suncoast Kitchen
Suncoast Kitchen is an artisan micro-bakery and chocolatier operating in Vancouver, British Columbia. We produce slow-fermented sourdough breads, hand-painted chocolates, pastries, and confections in small batches to pre-order.
These Terms of Service apply to all orders placed through our website, by email, or through any other channel we make available. "We," "us," or "our" means Suncoast Kitchen. "You" or "customer" means the person placing or receiving an order.
02 Pre-Order Model
All products are made to pre-order. We do not operate a storefront and do not accept walk-in or same-day orders. Our standard order flow:
- You submit an order request through our website or by email.
- We review your request and send a confirmation with an e-transfer request.
- Your order enters production once payment is received. Nothing is made before payment is confirmed.
- You collect your order at the designated pickup location and time.
We reserve the right to decline any order at our discretion, including orders we cannot fulfill due to capacity, ingredient availability, or scheduling.
03 Order Cutoff & Timing
Standard orders should be submitted at least 3–5 business days in advance. Our typical cutoff for Sunday pickups is Wednesday at 9:00 PM. Orders received after cutoff will be considered for the following pickup cycle, subject to availability.
For larger orders, custom requests, event orders, or wholesale quantities, we ask for a minimum of 7–14 days' notice. We will always communicate timing expectations before confirming.
We may update cutoff times seasonally or during high-demand periods. Current times will always be displayed on our website.
04 Pricing
All prices are in Canadian dollars (CAD). Prices are subject to change. The price at the time your order is confirmed is the price you pay.
A minimum order amount may apply and will be clearly stated on our website. Seasonal items, custom orders, event orders, gift boxes, and wholesale pricing may differ from standard menu pricing.
Where applicable, taxes will be itemized. We will always be transparent about any charges.
05 Payment
We currently accept Interac e-Transfer as our primary payment method. Payment is due within 24 hours of receiving your confirmation. If payment is not received within this window, your order may be released.
We may introduce additional payment methods in the future. Any options available will be clearly communicated at checkout.
For event and wholesale orders, deposit and payment schedule terms will be outlined in a separate order confirmation. A non-refundable deposit is typically required to hold your date.
06 Cancellations & Refunds
Because our products are made fresh to order, our ability to accommodate cancellations depends on where we are in the production process:
- Before production begins: Full refund issued. Contact us as early as possible.
- After production has begun: A partial or full charge may apply. We will communicate what is possible before making a decision.
- No-shows at pickup: If you cannot make your pickup window without contacting us in advance, your order is considered fulfilled and is not eligible for a refund. We will make reasonable efforts to hold your order briefly, but cannot guarantee this.
- Quality issues: If you receive a product that does not meet your expectations, contact us within 24 hours of pickup. We take quality seriously and will work with you to make it right.
07 Pickup
We currently operate on a pickup-only basis. Delivery is not offered at this time, though we may introduce it in the future.
Our primary pickup window is Sundays between 3:00 PM and 4:00 PM at a central public location near a transit hub in Vancouver. Weekday evening pickups (7:00–8:00 PM) are available by request.
The specific pickup location is communicated with your order confirmation. If you cannot make your scheduled pickup, please contact us as early as possible.
08 Custom, Event & Wholesale Orders
We welcome custom orders for special occasions, corporate gifts, and events, and offer wholesale supply to select retailers and hospitality partners.
- Custom and event orders are subject to a separate confirmation outlining scope, pricing, lead time, and deposit requirements.
- Deposits for event orders are non-refundable once production planning has begun.
- Wholesale pricing, minimums, and fulfillment schedules are established by written agreement.
- Gift boxes and gift packaging are available as an add-on. Additional lead time and charges may apply.
- We reserve the right to decline requests outside our current production capacity.
09 Allergens & Dietary Information
Our kitchen handles gluten, dairy, eggs, nuts, sesame, and other common allergens. While we take reasonable precautions, we cannot guarantee that any item is free from cross-contamination.
Allergen information is provided for each product. It is your responsibility to review this information before ordering. If you have a severe allergy, please contact us before placing your order.
Ingredients are subject to change based on seasonal availability. Vegan items are made with plant-based ingredients but are produced in a shared kitchen that handles animal products.
10 Intellectual Property
All content on our website — including text, photography, recipes, branding, and visual design — belongs to Suncoast Kitchen. You may not reproduce, distribute, or use our content for commercial purposes without written permission.
11 Third-Party Links
Our website may link to third-party websites not affiliated with us. We are not responsible for examining or evaluating the content or accuracy of those sites and will not have any liability for their materials, products, or services. Please review any third party's policies before engaging in transactions with them.
12 Accuracy of Information
We make every effort to ensure information on our website is accurate and current. However, we are not responsible if information is inaccurate, incomplete, or out of date. We reserve the right to modify the contents of this site at any time and have no obligation to update historical information.
13 Prohibited Uses
You are prohibited from using our website or its content for any unlawful purpose; to harass, abuse, or discriminate against any person; to submit false or misleading information; to upload or transmit malware; to collect the personal information of others without consent; or to interfere with the security of our website or services.
We reserve the right to terminate your use of our services for violating any of the above.
14 Disclaimer of Warranties
Our website and services are provided on an "as is" and "as available" basis without any representations, warranties, or conditions of any kind, either express or implied, including all implied warranties of merchantability, fitness for a particular purpose, or non-infringement.
We do not guarantee that our website will be uninterrupted, timely, secure, or error-free. We reserve the right to modify, suspend, or discontinue any part of our services at any time without notice.
15 Limitation of Liability
To the fullest extent permitted by applicable law, Suncoast Kitchen, its owners, employees, agents, and service providers shall not be liable for any direct, indirect, incidental, punitive, special, or consequential damages of any kind arising from your use of our services, any products procured through our service, or any errors or omissions in our content.
Where provincial or federal law does not permit the exclusion or limitation of liability for consequential or incidental damages, our liability shall be limited to the maximum extent permitted by law. In all cases, our total liability to you shall not exceed the value of the order giving rise to the claim.
16 Indemnification
You agree to indemnify, defend, and hold harmless Suncoast Kitchen and its owners, employees, agents, contractors, and service providers from any claim, demand, loss, or expense — including reasonable legal fees — made by any third party arising out of your breach of these Terms, your violation of any law, or the rights of any third party.
17 Severability
If any provision of these Terms is found to be unlawful, void, or unenforceable, that provision shall be deemed severed without affecting the validity or enforceability of any remaining provisions.
18 Entire Agreement
These Terms, together with our Privacy Policy and any order confirmation we issue to you, constitute the entire agreement between you and Suncoast Kitchen regarding your use of our services, superseding any prior agreements, communications, or proposals.
Our failure to enforce any right or provision of these Terms does not constitute a waiver of that right or provision.
19 Governing Law
These Terms are governed by the laws of British Columbia and the federal laws of Canada applicable therein. Any disputes will be resolved in the courts of British Columbia.
20 Changes to These Terms
We may update these Terms as our business grows. The current version will always be available on our website with its effective date. Continued use of our services after an update constitutes acceptance of the revised Terms.
Privacy Policy
01 Who We Are
Suncoast Kitchen is a small artisan food business operating in Vancouver, British Columbia. We are the organization responsible for the personal information we collect, as defined under PIPA.

02 What We Collect
We collect only what we need to fulfill your order and communicate with you:
- Identity: your name.
- Contact: your phone number and/or email address.
- Order details: items ordered, quantity, pickup date preference, and special instructions.
- Payment confirmation: we do not store payment credentials. E-transfer payments are processed through your bank. We only record that payment was received.
- Communication history: emails or messages you send us in connection with an order.
- Website usage data: standard server logs that may include your IP address, browser type, and pages visited. This data is aggregated and not linked to your identity.
We do not collect government ID, financial account numbers, health information, or any sensitive personal information beyond what is listed above.
03 Why We Collect It
- To process and fulfill your order.
- To communicate with you about your order, including confirmation, pickup details, and any changes.
- To respond to inquiries, custom order requests, or complaints.
- To maintain internal business management and financial records.
- To improve our products, operations, and customer experience.
- With your consent, to send you occasional updates about new products or seasonal offerings. You may withdraw this consent at any time.
04 Legal Basis for Collection
Under PIPA, we collect personal information with your consent. By placing an order with us, you consent to the collection and use of your information as described in this policy. This consent is meaningful because you are knowingly providing your information directly to us in the context of a commercial transaction.
05 How We Store Your Information
Your information is stored in our internal business management system, accessible only to Suncoast Kitchen personnel. We take reasonable technical and organizational precautions to protect it from unauthorized access, disclosure, or loss.
We do not use your information to build advertising profiles, and we do not sell, rent, or trade your personal information to any third party.
If we adopt third-party software tools in the future, we will update this policy to reflect how those tools handle your data, and we will only use services that meet reasonable privacy standards.
06 How Long We Keep Your Information
- Order records are kept for a minimum of 7 years for accounting and tax purposes, consistent with CRA requirements.
- Customer contact information is retained as long as you remain a customer or until you ask us to delete it.
- Marketing consent records are kept until consent is withdrawn.
- Other communications not related to a specific order are kept for a reasonable period and then deleted.
07 Sharing Your Information
We do not sell, rent, or share your personal information with third parties for marketing purposes.
We may share your information in the following limited circumstances:
- With service providers who help us operate our business (e.g., email hosting, payment processing, accounting software), strictly to provide those services and subject to confidentiality obligations.
- If required by law, court order, or regulatory authority.
- In the event of a sale or transfer of the business, to the successor organization, subject to equivalent privacy protections.
08 Website & Cookies
Our website may use cookies or similar technologies to improve your browsing experience. These are standard and do not collect personally identifiable information on their own.
If we introduce analytics tools or third-party integrations, we will update this section to explain exactly what those tools collect and how to opt out.
You can configure your browser to block or delete cookies at any time. Doing so will not affect your ability to place an order.
09 Your Rights
Under PIPA and Canada's privacy framework, you have the following rights:
- Access: request a copy of the personal information we hold about you.
- Correction: ask us to correct inaccurate or incomplete information.
- Deletion: request that we delete your personal information, subject to legal retention requirements.
- Withdrawal of consent: withdraw consent at any time, which will not affect any processing already carried out.
- Complaints: contact the Office of the Information and Privacy Commissioner for BC (OIPC BC) if you believe we have not handled your information appropriately.

10 Children's Privacy
Our services are not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
11 Cross-Border Data Transfers
Our business is based in British Columbia, Canada. If we ever use third-party services that process data outside of Canada, we will ensure appropriate protections are in place and will update this policy accordingly.
12 Changes to This Policy
We may update this Privacy Policy as our business grows or as legal requirements change. The current version will always be posted on our website with its effective date. Material changes will be communicated to active customers by email where possible.
